This policy explains what personal information Grace Henley Weddings collects, why it is collected, how it is stored and used, and what you can do about it. It applies to this website and to my work photographing and filming weddings. I handle personal information in line with the Australian Privacy Principles under the Privacy Act 1988 (Cth).
What I collect
- Enquiry details — your name, email address, phone number, wedding date, venue or location, and anything else you choose to tell me in an enquiry form or email.
- Booking and client details — the information needed to prepare a booking agreement and plan your day, including your run sheet, key contacts, supplier details and any family or group photograph lists you give me.
- Payment records — invoices, receipts and payment dates. I do not store your card details; payments are processed by a third-party provider.
- Photographs and video of you, your wedding party and your guests, taken while covering your event.
- Website information — basic technical data your browser sends when you visit, such as your IP address, device and browser type, and which pages you viewed.
How I collect it
Most information comes directly from you — through the enquiry form, email, phone, messages, or during our consultation. Some comes from your suppliers or planner when they contact me on your behalf. Website information is collected automatically by my website host and any analytics tools in use.
Why I use it
- To answer your enquiry and confirm availability for your date
- To prepare quotes, booking agreements and invoices
- To plan and deliver coverage of your wedding
- To deliver your gallery, files and any film
- To keep records required for tax and business purposes
- To improve how this website works
I do not sell your personal information, and I do not use it for advertising unrelated to my own work.
Your photographs
Copyright in the photographs and films I create remains with Grace Henley Weddings. You receive full-resolution files with personal printing rights, so you can print, share and enjoy your images freely.
I may use a small selection of images from your wedding in my portfolio, on this website, on social media, in print, or when submitting work to publications and wedding directories. If you would prefer I did not, tell me — before or after your wedding — and I will not. There is no cost to opting out and it will not affect your coverage in any way. If images have already been published and you change your mind, contact me and I will remove them from anything within my control.
I will not identify you by full name, share your venue, or publish anything about your day beyond images and general location, unless you have agreed to it.
Who I share it with
I am a sole operator, so your information is not shared across a team. It may be handled by the service providers I rely on to run the business, which can include my website host, online gallery and file delivery platform, email provider, invoicing and accounting software, cloud backup storage, and print and album suppliers when you order through me.
Some of these providers may store data outside Australia. I choose established providers and share only what is needed for them to do their job. I may also disclose information where the law requires it.
Cookies and website analytics
This website may use cookies and similar technology to keep the site working properly and to understand how visitors use it. You can block or delete cookies in your browser settings, though some parts of the site may not work as well if you do.
How long I keep it
Enquiries that do not become bookings are kept for a reasonable period and then deleted. Booking records, invoices and correspondence are kept for at least seven years to meet Australian tax and record-keeping requirements. Photographs and films are archived so I can help if you lose your files, but I do not guarantee indefinite storage — please keep your own backup of your gallery once it is delivered.
Keeping it secure
I take reasonable steps to protect your information, including password protection, device security and backups of client work. No system is completely secure, and I cannot guarantee that information sent over the internet is entirely safe from interception.
Access, correction and deletion
You can ask me what personal information I hold about you, ask me to correct it if it is wrong, or ask me to delete it. Just get in touch. I will respond within a reasonable time. In some cases I may need to keep certain records — for example, tax records — even after a deletion request, and I will tell you if that applies.
Complaints
If you are unhappy with how I have handled your personal information, please contact me first so I can try to sort it out. If you are not satisfied with my response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.
Changes to this policy
I may update this policy from time to time. The current version will always be on this page, with the date it was last updated at the top.
